Here's a scene I see too often, a company deploys an AI tool. Employees start using it. Someone pastes confidential client data into ChatGPT to "help summarize a contract." Nobody told them not to, because nobody thought to write a policy about it.
AI governance sounds like something that only matters to Fortune 500 companies with dedicated compliance departments. It's not. If you have five employees using AI tools, you need governance. The difference is that your governance should be proportional to your size and risk, not a 200-page document that nobody reads.
I spent decades writing technology policies for businesses, acceptable use policies, data handling procedures, security frameworks. AI governance is the same discipline applied to a new category of tools. The principles haven't changed.
The Four Policies Every Business Needs
Forget the enterprise governance frameworks with 47 sub-committees. Most businesses need four clear policies. That's it. Get these right and you've covered 90% of your risk surface.
1. AI Acceptable Use Policy
This is the most important one and the one most companies skip. It answers: what AI tools are approved? What can they be used for? What data can and cannot be shared with them?

Size it right: For a 10-person company, this might be a one-page document. For a 500-person company, it might be five pages with role-specific sections. The size should match the complexity of your organization, not the anxiety of your legal team.
2. AI Data Handling Policy
Where does your data go when AI processes it? This is the question that keeps security teams up at night, and rightfully so. Most AI services process data on external servers. Some use your data to train their models. Some don't. You need to know which is which.

AI generates content. Who is responsible for that content? This sounds philosophical until someone publishes AI-generated marketing copy with a factual error, or sends a client an AI-drafted contract with a clause that doesn't make sense.

AI capabilities change fast. Models improve, new risks emerge, regulations evolve. A governance framework that isn't reviewed regularly becomes outdated in months.

I hear this every time governance comes up. "We don't want to stifle innovation." "We need to move fast." "Policies create bureaucracy."
Here's the thing, governance doesn't slow you down. It prevents you from having to stop everything and clean up a mess. A data breach from uncontrolled AI usage will slow you down far more than a one-page acceptable use policy ever would.
Good governance is like a guardrail on a mountain road. It doesn't limit how fast you drive. It keeps you on the road. The organizations that resist governance are usually the ones that end up needing it most urgently, after something goes wrong.
The balance test:
For every policy you write, ask, "If someone follows this, will they still be able to do their job effectively?" If the answer is no, the policy is too restrictive. If the answer is "yes, but they'll think twice before doing something risky," the policy is doing its job.
A Note from the Security Side
I bring a perspective to AI governance that many AI consultants don't, a cybersecurity background. Decades of writing firewall rules, access control lists, and security policies taught me something important. The best security is invisible to the user. It protects them without getting in their way.
AI governance should work the same way. The policies should be clear enough that people can follow them without checking a manual every time they use an AI tool. If your governance framework requires a flowchart to navigate, it's too complex. Simplify until it's intuitive, then train on it until it's habitual.
The goal isn't to control how people use AI. It's to make sure they use it safely, effectively, and in a way the organization can stand behind.
